Privacy Policy - FrameSync Labs

Welcome! At FrameSync Labs ("we", "us", "our"), your privacy is very important to us. This policy explains what personal information we collect, how we use it, and what we don't do - because we believe in being transparent.

What Information We Collect

We collect only the information we need to provide our service, which is very limited:

  • Your name, email address, phone number, and Discord username, when you make a booking with us.
  • Details related to payment (via Stripe or PayPal) necessary to process and confirm that booking.
  • If you choose to post in the #reviews channel of our Discord server: the content of that message, your Discord username and profile picture, and the reactions it received. See "Community Reviews from Discord" below.

We do not collect or use:

  • any extra personal details beyond those needed for booking, support, and the community reviews described below.

How We Use Your Information

We use the information we collect only to:

  • Process your booking and payment.
  • Communicate with you about the booking, support, or any relevant updates.
  • Maybe follow up if needed (e.g. if there is a problem with the booking).

We never sell, rent, or otherwise share your personal information with third parties, except as absolutely required to process payments (e.g. Stripe/PayPal) or for legal compliance.

Legal Bases for Processing

If you are in the European Economic Area or the United Kingdom, we need a legal basis for every use of your personal information. Ours are:

  • Performance of a contract - to take your booking, process your payment, carry out your session, and communicate with you about it. Without this information we cannot provide the service.
  • Legal obligation - to keep payment, invoice and accounting records for as long as Polish tax and accounting law requires.
  • Consent - for the community reviews described below, and for any non-essential cookies. You can withdraw your consent at any time, as described in those sections.
  • Legitimate interests - to keep our website and booking system secure, to prevent fraud and abuse, and to resolve disputes. We rely on this only where it does not override your rights.

Data Storage & Retention

  • Your data (name, email etc.) is stored solely to fulfil the service you requested, for support, or as needed by payment processors.
  • We retain that information only for as long as necessary (for example, for record-keeping, resolving disputes, or using refunds if applicable).
  • We do not store or retain unnecessary data.

Community Reviews from Discord

Our Discord server has a dedicated #reviews channel where customers can voluntarily share their experience. If you post a message there, we may republish it on our public reviews page on this website, alongside your Discord username, your profile picture, and any reactions your message received. We also check whether you hold a customer role in our server, which we use to filter and label reviews.

  • Posting in that channel is entirely optional. It is the only channel we read for this purpose.
  • Our reviews page is rebuilt from that channel's current messages at regular intervals (currently around every 30 minutes). If you delete your message, it will disappear from our website at the next refresh.
  • You can also ask us at any time to remove your review, and we will take it down.
  • We do not read, store, or publish messages from any other channel, and we do not read direct messages.
  • We do not use this content to train machine learning or AI models, and we do not share it with third parties.

Cookies & Third-Party Services

We use a small number of third-party services to operate our website and process payments. These may set cookies or collect limited data as described below:

  • Stripe - processes payments securely. Stripe may set cookies required for fraud prevention and payment processing.
  • Contentsquare - helps us understand how visitors interact with our website (e.g. which sections are viewed, scroll behavior) so we can improve the user experience. Contentsquare does not collect personally identifiable information.
  • Rewardful - tracks affiliate referrals. A cookie may be set to attribute referrals to the correct affiliate partner.
  • Crisp - provides live chat support. Crisp may set cookies to maintain your chat session.

We do not use any additional advertising cookies, behavioral trackers, or sell data to third parties.

Your Rights

If you are in the European Economic Area or the United Kingdom, data protection law gives you the following rights over the personal information we hold about you:

  • Access - ask us for a copy of the personal data we hold about you.
  • Rectification - ask us to correct anything that is inaccurate or incomplete.
  • Erasure - ask us to delete your data, unless we are legally required to keep it (for example, payment and invoice records we must retain for tax purposes).
  • Restriction - ask us to pause processing while a correction or a dispute is being resolved.
  • Portability - ask us to give you the data you provided in a common, machine-readable format.
  • Objection - object to our processing where we rely on our legitimate interests.
  • Withdrawing consent - where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it.

To exercise any of these, email us at [email protected]. We will reply within one month, free of charge. We may first ask you to confirm your identity, so that we never hand your data to the wrong person.

If you believe we have handled your data improperly, you can lodge a complaint with the Polish supervisory authority - the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stanisława Moniuszki 1A, 00-014 Warsaw, Poland, uodo.gov.pl - or with the supervisory authority in your own country of residence.

Security

We take reasonable steps to protect your data. However, no system is perfect. If you ever suspect there's a security issue, contact us, and we'll investigate.

Children

Our services are not intended for children under 16. We do not knowingly collect personal information from anyone under the age of 16.

Policy Changes

If we change how we collect or use data, we will update this Privacy Policy, change the "Last updated" date, and make those changes clearly visible on our site.
